Payments & invoicing
Deposits, payouts, invoices, commission, payment links and what to do when a payment looks wrong.
The money flow at a glance
Section titled “The money flow at a glance”| Step | Who pays whom | When |
|---|---|---|
| Deposit (35% by default, or the agreed %) | Client → FTM | To confirm the booking |
| Remainder | Client → FTM, you (bank transfer) or you (cash) — set per booking | Weeks before, or on the day for cash |
| Your fee (total minus commission) | FTM → you, to your bank details | After the event, once the balance has cleared |
When do I get paid?
Section titled “When do I get paid?”After the event, once the client’s balance has cleared — as a rule within 1–2 working days of the event (per our Artist’s FAQ, Feb 2025).
You don’t need to invoice us — we just need your bank details (see Changing bank details below). If you want an invoice for your own tax records, create one for yourself; you don’t need to send it to us.
Your dashboard shows the payment status of every booking.
How is the remainder paid?
Section titled “How is the remainder paid?”Set per booking — one of three ways:
- FixTheMusic — client pays through us (payment link or bank transfer), we pay you
- Bank transfer — client pays you directly (or via your own dashboard payment link)
- Cash — client pays you the remainder in cash on the day
With cash arrangements the client still pays a deposit to FTM to secure the date: either 18% (which is our commission) or 35% — in which case 17% of it is your deposit and we send it to you the day after the event, with the rest paid to you in cash on the day.
Whichever applies is stated in the booking. Many acts take the remainder in cash before performing; if that’s your arrangement, remind the client in your pre-event email — FTM’s confirmation email tells them what’s due and how.
Can I create a payment link for a client?
Section titled “Can I create a payment link for a client?”Yes — open the booking in your dashboard and create a payment link to send directly to clients who are ready to pay. Good for deposits or balances you’re collecting yourself. The dashboard walkthrough video shows how (chapter “How to create and send a booking link”).
Why is my payout less than the client paid?
Section titled “Why is my payout less than the client paid?”FTM’s commission is deducted from the total the client pays — typically 18%, your exact rate is in your contract and dashboard. The client’s total also covers our booking fee on top of your fee. Ask hello@ for a payout breakdown any time — include the enquiry short-code.
Invoices — who invoices whom?
Section titled “Invoices — who invoices whom?”It depends on how the client pays:
- Paid through FixTheMusic — our invoice to the client covers the booking; you don’t need to invoice anyone. Invoice and contract PDFs are generated on the platform — ask hello@ if you need copies.
- Client pays you directly (bank transfer or cash, per your booking) — you invoice the client yourself.
VAT treatment varies with who is invoiced and how the money flows (clients invoiced by an EU company vs paid through FTM) — check your own situation with an accountant, and ask hello@ if a client needs specific invoicing.
Changing bank details
Section titled “Changing bank details”Never send new bank details by email only — email is where fraud happens. Email hello@ from your registered account address; we’ll verify before the next payout and confirm back.
“Payment due on the day” — who collects?
Section titled ““Payment due on the day” — who collects?”Depends on the payment method for that booking (see the table above). If the remainder is by bank transfer or FixTheMusic, the client pays us and we pay you — you don’t collect. If it’s cash, the client pays you on the day.
I haven’t been paid / payment is late
Section titled “I haven’t been paid / payment is late”Email hello@fixthemusic.com with the event date. We’ll check the client’s payment status and the next payout run, and chase the client if their balance is outstanding. If the booking was cancelled or postponed, see Cancellations & date changes for how money is handled.
Client paid the wrong amount
Section titled “Client paid the wrong amount”Happens (wrong deposit, duplicate, overpayment). Don’t refund anything directly — tell us and we’ll work out the fix with you (refund to the client, an adjustment on your next invoice, or whatever suits the situation).
